Do most Gmail users even know about canned responses?

Do most Gmail users even know about canned responses?
Let's face it, we've all spent way too much time crafting the perfect customer service email. But have you ever thought about saving those responses for later? Canned responses are a game-changer, allowing you to create a library of pre-written answers to common questions. Yet, it seems like hardly anyone uses this feature. I've seen coworkers send lengthy, redundant responses when a canned one would've sufficed. Anyone else using this feature and if so, how do you use it?

i only just started using canned responses a few weeks ago and literally half my colleagues were clueless about it. they just had a bunch of pre-written emails in their drafts folder or something.

yeah me neither till a few months ago now i use it all the time and idk how i lived w/o it my sister still uses a plain old template in word lol 🫠

Ok but i think youre missing the whole point of canned responses, they're not just some new feature to help with your inboxes, it's supposed to automate repetitive ANSWERS so you don't have to copy/paste them every time

not me
OM Omar Aziz 1 month, 1 week ago
Canned responses are honestly a lifesaver for me because i use to spend so much time typing the same emails over and over and it WOULD drive me crazy especially when i had to book hotel rooms for my family vacations they would ask the same crap about check out time and parking every time i had to send out the same email with the same answers
NG Nguyen Garcia 1 month, 1 week ago
used to have 100 canned responses but then it reset and i lost all of THEM lol

Canned responses are literally one of the most basic Gmail features but yeah theyre not that well publicized i mean i work with A lot of people who've been using Gmail for years and they still don't know about it and it's not like it's hidden somewhere you have to search for it theyre right there in the compose email box *(edited)*

Canned responses always snuck up on me, to be honest - i swear i was getting all sorts of 'why is this email sending me in circles' complaints until i stumbled upon the feature a few hours into a long customer service shift. does anyone use canned responses for anything more than just simple auto-replies (e.g. "sorry for the delayed response" type stuff)? was it ever marketed as a 'feature' to users or did it just kind of... exist?

canned responses were actually occured occurred* in 2014 and they got a major overhaul in 2020 that made them way more accessible, so yeah it's easy to see how some people might not have caught on right away

Me too, been using canned responses for yrs and i'm still finding new stuff in settings nobody tells me about. but seriously, do most advanced users actually customize these or is it still just a neat feature nobody uses??

WO Wolfgang Schulz 1 month, 1 week ago
I remember when gmail rolled out labs and i was experimenting with all the crazy features that no one really used at the time, canned responses included. somehow, i ended up setting up an auto-response that would send a templated reply to non-work contacts - i was trying to establish some weird digital separation between my personal/professional life. i don't know how many times that canned response got flagged as spam, but it was definitely a quirk i forgot about until it stopped working a year or two later. kinda wonder if any of the new features are getting used by people on a 'macro' scale instead of just weirdos like me.

Canned responses are literally one of the most basic features of gmail, if youre on the web version and CAN'T find it, try updating your browser or searching for "gmail canned responses" in the help section.

just found out a co-worker is using canned responses to auto-generate a ton of similar emails to our users, and honestly it was a total game-changer for our team. we're able to scale up support a lot faster now and not feel overwhelmed. does anyone else use this feature to deal with high volume responses?

Canned responses actually used to be the game-changer for me when I was working on a project last year where I had to send the same response to like, 50 different freelancers asking about availability. I typed out this super lengthy "availability form" that covered all the questions I needed answered and just... forgot about it. It was still getting hits a month later and I was like, 'oh sweet, im getting a steady stream of responses to nothing' – but I guess that just goes to show how well they can work in certain situations.

I know the struggle of not knowing about canned responses its literally saved me so many times when i was working customer support in college i was dealing with the same emails over and over again and i was starting to lose my mind then i stumbled upon the canned responses feature and it totally changed the game for me now every company should just have it from scratch

Canned responses killed it for me when I switched to Gmail for my business emails - all those annoying "out of office" and "follow up" emails are actually automated now, it's a huge timesaver no cap

Canned responses are just one part of teh problem, we actually need more robust email templates for specific situations like follow-ups, escalations, or even just plain old complaints. most of us end up sending the same generic "working on it" or "we're sorry" emails again and again, which just sounds insincere

WO Wolfgang Schulz 1 month, 1 week ago
People must be responding to actual emails, not just drafts of responses they send themselves in an infinite loop lol

i had a client last year who used canned responses religiously, but had no idea you could even customize the templates themselves. turns out all their automated emails looked exactly the same

First time posting but ive been lurking for a while and i gotta say, i'm kinda surprised by the number of people who didnt know about canned responses. personally, i use them to respond to routine customer service emails and it saves me so much time. my favorite thing about them is how they have the option to add dynamic fields, like the recipient's name or a specific issue they were inquiring about - it's really clever how it allows u to personalize the responses

I never really used canned responses until i started volunteering at a non-profit last year and had to deal with tons of repetitive questions from new donors. it was a lifesaver for streamlining responses, but also made me realize how often i'd overthought and overwritten emails when i didn't have that feature
3
XI Xinyi Yoon 1 month, 1 week ago
Yeah that makes sense. for volunteers they prolly need to send a lot of similar emails so canned responses would be a lifesaver tho
1
OM Omar Aziz 1 month, 1 week ago
yeah, because who needs efficiency when you can manually type the same email 17 times?

XI Xinyi Yoon 1 month, 1 week ago
wait canned responses are a thing lmfao

XI Xinyi Yoon 1 month, 1 week ago
Like, probably half the people i've seen crying about "my email is so backed up" are just reusing the same 7 auto responses over and over

XI Xinyi Yoon 1 month, 1 week ago
Oh wow, canned responses? That’s like discovering a secret menu item that’s been hiding in plain sight this whole time. I only found out about it when I accidentally hit the wrong shortcut and suddenly my inbox was flooded with pre-written "Thanks for reaching out!" emails

edit: to clarify im not saying its always like this, just my experience

XI Xinyi Yoon 1 month, 1 week ago
Do you think people would be more open to using canned responses if it was made more accessible or integrated into their overall Gmail workflow??

First time posting but i've noticed that most users who do know about canned responses tend to be the ones who've made heavy use of the gmail compose shortcut keys, i've seen those shortcuts appear in a few online tutorials so maybe that exposure has helped them stumble upon the feature? *(edited)*

SA Sabine Weber 1 month, 1 week ago
Yep people not knowing about canned responses isn't even the issue - its literally taking the 2 seconds to actually enable them in the settings lol.
